Texting for Proposals and Proofs

If you have the Twilio integration enabled, and you have a phone number set up for SMS, then you have the new option to text proof requests and proposals to your contacts.

  • On proposals, there is a new 'Send SMS' checkbox on the Review and Send portion of creating the proposal, as well as on the view proposal 'Proposal' tab.

  • For proof requests, there is a new action on the ticket page called 'Send SMS Proof Request'.

  • For both proposals and proof requests, you can only text message contacts who have a phone number set to the 'cell phone' type.

  • The text messages can be customized, but must include the links to the proposal or proof request.

  • The rest of the workflow is the same as if you had emailed the proposal or proof request.

New Proof Request Options

There were multiple additions to proof requests in this month's release.

  • A new 'System Email' option has been added to the Sender for Proof Emails system configuration. This works in combination with the new Proof Email System Address configuration. When both of these are set, proof request emails will be sent from the email address specified, rather than a specific user.

  • There are two new system configurations that allow for sending your contacts proof request reminders. When the new Send Proof Request Reminder Email is set to Yes, a reminder email will be sent to your contacts after a proof request is generated on a ticket. It works in combination with the new Proof Request Reminder Frequency configuration. The value set in the Proof Request Reminder Frequency configuration is the interval at which the reminder email will be sent. For example, if set to 4, then a reminder email will be sent to the contact every four days asking them to review the proof request.

Payment Processor Hosted Checkout Form

The typical workflow for processing payments through the Client Center when integrated with a payment gateway is that the contact fills out the payment form within the Client Center (using either a saved payment method or by entering a new one), and submits the form.

  • There is a new option to use a Payment Processor Hosted Checkout form instead, which means that when a contact goes to make a payment in the Client Center, they will be redirected to the payment processor's form, to fill out their payment information directly in the processor, rather than using the Ad Orbit form. When they make the payment, they will be redirected back to their Client Center account.

  • Payment Processor Hosted Forms are currently only supported for the Stripe gateway, and are only available within the Client Center.

  • To turn on the feature, make sure you have Stripe set up as your payment gateway.

  • Then, set the new Public Payment Workflow system configuration to 'Payment Processor Hosted Form'.

Improvements

DataWarehouse and Metabase Additions

Multiple additions were made to the DataWarehouse and Metabase this release.

  • Finance Codes and Finance Classifications have been added to the Dim Publication table.

  • The Analytics Sales table now shows Finance Codes for ad sizes as well as service items. It also shows the publication Finance Code if a publication is specified on the line item.

  • When enabled, summarized activity data has been added to the Activity Fact table.

  • Company URLs have been added to the Dim Company table.

  • New Dim Company History and Dim Contact History tables were created.

  • Root Company Name was added as a field to the Analytics Company table, and Root Company ID was added to the Analytics Company and Dim Company tables.

  • A Description column was added to the Commissions Fact table.

  • Commission kickers and records associated with Map Your Show invoices are now included in Metabase.

  • Pre-Paid Order ID, Bank Account Name, Payment Transaction ID, and Credit Memo Key fields have been added to the Payment Fact and Analytics Payments tables.

  • Cash account payments are also now supported in both the Payment Fact and Analytics Payments tables.

  • System emails such as mail merges are now showing correctly in the Activity Fact table.

  • Metabase has been updated to the latest version.

Update to Product Swapping

Previously when swapping a line item on an approved order that had an installment schedule, the net amount of the new item(s) had to match exactly the original line item. This release, this process has been updated so that if the original item is not marked as invoiced, or there are still installment schedules available to create, the swap can be for a value equal to or greater than the original item's net.

  • If the item has been marked as invoiced or all of the installment invoices have been created for the order, then the swap must be for an item of equal value.

Map Your Show Improvements

  • A couple of visual updates were made to the Map Your Show lockbox this release.

  • A few labels were updated for clarify, and the Cancelled Orders tab has been removed, and replaced with a Cancelled Orders filter on the Orders tab.

  • There was also an update made so that imported contacts are now properly matched by email address.

  • A fix was made so that Net 30 installments dates are imported from Map Your Show into Ad Orbit correctly.

  • When importing Map Your Show items using the CSV Upload option, the dates for orders are now being set properly.

Offer Updates

This release, we made multiple improvements to our Offers functionality.

  • There is a new optional Rep field when creating offers. If a rep is selected, the Companies dropdown will automatically update to be a required field, and you will be able to choose from all companies the rep is associated with.

    • By default, if a rep is not specified, the primary rep on the company is who will be assigned to the order created when the offer is claimed. If a rep is specified, they will be assigned as the order rep when the offer is claimed.

  • If Print Ad is selected as the Product Type, there's a new additional 'Available Quantity' field. Setting a quantity to more than one means there are multiple of the same ad item that can be purchased. Customers will only be able to purchase one at a time, and the quantity will decrease each time the offer is purchased until it reaches zero. If set to more than one, premium positions cannot be set on the line items.

  • Multiple Slot items can now be selected at a time when creating an offer. Once saved, each slot will be broken out into an individual offer item.

  • There is a new email notification to reps when an offer is claimed that contains basic information about the offer, and the company that purchased it.

Additional Improvements

  • Files can now be moved within the Document Manager. To do so, simply click the 'Move' action on an uploaded file, and choose its new location.

  • Our AI integration has been updated to the Chat 4o Model.

  • Lead Statuses can now be updated in bulk on the Contact Search page and on the Lead Status Report.

  • When an autopay method has attempted and failed to process five times, the method will now be automatically disabled and a notification email will be sent to the Finance Email that a payment method was disabled.

  • Reserved products can now be bulk scheduled from the Consolidated Snapshot report. To do so, select the desired line items and click the new Schedule Selected Items action. In the popup, enter the details of where you would like the items scheduled, and submit the form. You can also bulk Un-Schedule items from the Consolidated Snapshot report if needed.

  • There is a new, optional, 'Internal Notes' field on appointments. This field can be especially helpful if you have an Outlook or Gmail calendar connected to your Ad Orbit account, as the Internal Notes will not sync to your connected calendar.

  • A couple of visual improvements were made to the comments box on support and delivery solution tickets.

  • An 'On Marketing List' search filter was added to the Contact Search and Subscription Search pages.

  • A Deferred Revenue Account Code has been added to the Xero Settings page. When set, all deferred items will export to Xero to the account using this code, overriding the account that would be set based on a mapped product or GL class revenue code.

  • On the Cardholder Account Reacquisition report, there are new 'Show Expired' and 'Show Only Expired' search fields. There is also a new column and search field for 'Created Date'.

  • A Tax ID display field has been added to the Consolidated Sales report.

  • The labels for the media guidelines in the Client Center now more accurately reflect the associated system configurations.

  • A view file action has been added to files on the company Artwork tab.

  • When selecting subscriptions in the 'Renewed From' dropdown on a subscription, the publication restriction has been removed. This means you can mark any subscription as renewed from any other subscription as long as the other criteria are met, such as they are associated with the same subscriber.

  • A new 'Includes Columns' field was added to the Saved Reports popup to reflect if a report was saved with or without columns.

  • The email notification to users when a proof request is approved or denied now includes a link to the ticket.

  • A new system configuration Require Tax Option on Line Items has been added to the system. When turned on, the Tax Option field when adding line items to orders will become required. If left turned off, the Tax Option field is optional.

  • Item ID and Item Category fields have been added to the Invoice CSV and GL Summary exports.

  • When using the Create Pre-Pay Invoice option on an order, if there is any payment made against the special invoice that is automatically created, whether that is a partial or full payment, the special invoice will now be deleted and the payments moved to the cash account.

  • A new warning icon has been added to the Billing Contact field on approved orders if the order has recognized revenue, which notified users that changing the billing contact could cause problems.Unbilled revenue items now associate with the 'Bill To Company' if one is set on the order, and invoice IDs are now included on unbilled records if the item has been invoiced when the export record is generated.

  • An Item Note Text field has been added to the GET Tickets API endpoint which shows item notes without any HTML formatting.

Fixes

  • Invalid characters will no longer cause the historical order importer to error.

  • When orders are set up to be automatically finance approved, and the system configuration Enable Thank you for Ordering Email is set to 'Approved in Client Center Only', the email will no longer be sent incorrectly.

  • Subscription webforms can now be submitted on iPads and tablets.

  • The Forecast Summary report is now properly showing information for reps who have goals but no sales data.

  • Companies associated with inactive distribution locations can now be deleted.

  • On the Consolidated Sales report, the Agencies column now shows all agencies associated with the advertiser, and the Order Agency column displays the agency, if any, associated with the order.

  • A timezone issue causing a discrepancy with the sold date of orders has been fixed.

  • An error in the Client Center has been resolved when GAM cannot connect.

  • An error when HubSpot is connected on the contact and company overview pages has been fixed.

  • The Start Date and End Date filters have been updated to require both fields if one is set.

  • Circulation values are now displaying properly on the Production Report when user defined circulation is turned on for the ad size.

  • An error when using the global search bar has been fixed.

  • Emojis are now processed and display properly on activities and on imported emails.

  • The Annual Client Spend report is now properly filtering by publisher when also including forecast data.

  • When pushing a contact update to HubSpot from Ad Orbit, the companies and contacts will now be linked correctly within HubSpot.

  • The Scheduled Revenue report is no longer including proposal line items.

  • The Billing Date is now showing properly on service tickets.

  • Slot blockers are now working correctly for pending sale items.

  • GAM items will now stop attempting to push after five failed attempts.

  • When importing contacts from HubSpot, dynamic attribute requirements will only be applied to new contact imports, not updates.

  • A display bug on contract templates where an empty table was showing has been fixed.

  • The Delivery Start Date and Delivered Date fields are now displaying properly in the CSV export for the Consolidated Snapshot report.

  • Messaging has been added to pages where you connect user emails in the case that there is no default email activity category set.

  • The 'Requires Shipping' setting on e-commerce products no longer affects the stock and inventory of the item.

  • The Forecast Summary report now correctly includes event category goals when the report is filtered by publication.

  • Delivery solution line items are now using the end date as the billing date, whereas previously the event date was used as the billing date.

  • When a report was saved with specific columns, re-submitting the form after loading the saved report or changing filters will no longer change the columns the report was saved with.

  • An importing processing issue was fixed.

  • The Advertising Sponsorships page on Events is now loading properly.

  • The totals at the bottom of the company summary tab are now showing the correct values.

  • The Forecast Management page is now showing event forecast items.

  • A display issue was fixed when trying to submit the Consolidated Production report without the required date fields.

  • Payment profile information has been removed from the API.

  • When creating orders through the API, if an order is created with an agency, the advertiser and agency will now be connected automatically.

  • Targeted Display revenue recognition is now using the end date rather than the start date.

  • The invoice publication GL codes are now being included for special invoice payments in the Payment GL exports.

  • A bug attempting to select a dynamic attribute when creating a contact and company has been fixed.

  • Order PDF views have been added to the User History.

  • An issue causing incorrect orders to receive the new account kicker commissions has been resolved.
