Notify Reps on Company and Contact Changes

A highly requested feature request item, this release we added a system configuration 'Notify Reps on Contact and Company Changes'. By default, the new configuration is set to No. When set to Yes, reps will receive a daily summary email of changes that occurred on companies they are a rep on, and contacts they are the owner of. The summary email includes the names of the contacts and companies, which field was changed, the old value and new value of the field, as well as when it was changed and which user it was changed by. This configuration essentially brings the Contact History and Company History pages into a daily email format.

Improvements

HubSpot Improvements

Changes to contacts and companies that are made in bulk within Ad Orbit are now properly being reflected in HubSpot. Previously, only individual changes to records were pushed to HubSpot.

Full contact lists from Ad Orbit can now be pushed to HubSpot. When HubSpot contact lists are enabled in your Ad Orbit site, on your Ad Orbit contact lists, under the actions menu, there's a new option to Push List to HubSpot. When clicked, you will see a popup where you can select which HubSpot list to push your Ad Orbit list to.

DataWarehouse and Metabase Updates

Multiple updates were made to the DataWarehouse and Metabase in this month's release.

  • A new Client Center Contact Actions Fact table has been added this release, which contains relevant information about the actions taken within the Client Center when contacts are logged in.

  • The Analytics Goals table now includes weighted values and forecast data.

  • A new Offers Fact table has been added.

Exempt Companies from Order Rep Split

There is a new option for enforcing rep splits by Brand or Publication. This option must be enabled by our support team, and is only applicable if you are using order rep splits. When turned on, rep splits can be set up to be enforced or not on individual companies, rather than it being a universal setting.

If turned on, the default behavior is that companies will not require rep splits in order to create orders for the company. To enable splits on a company, you will need to edit the company, and on the Billing Info edit page, set the 'Enforce Rep Order Split' setting to Yes. This will make splits required for that company.

Publication Sales Pacing Report Improvements

Many updates were made to the Publication Sales Pacing Report this month.

  • All product types are now included in the report results.

  • Five new search filters have been added: Product Type, Product Category, Event, Product, and Brand.

  • The report can now be saved and scheduled.

  • A new 'Use Current Day' option has been added to the Sold As of Date filter. This is applicable when saving and scheduling the report. If left unchecked, then the saved report will always use whichever Sold As of Date you used when running the report. If checked, then the saved report will always update the Sold As of Date to the current day.

Lost Sales Report Updates

Many of the search filters on the Lost Sales Report were updated this release.

  • The Publication, Rep, and Lost Reasons filters were all updated to be multi-selects.

  • Publication has been added as a display field.

  • Probability has been added as a display field, and more probability options were added to the Probability search field.

  • The company names have been updated to be links. When clicked on, it will open the company overview page.

Invoice Register Report Additions

This release, there were a few additions to the Invoice Register Report to show GL information.

  • Sales GL and A/R GL display fields were added.

  • If either of the GL fields are being shown in the report, then all master invoices that are not split invoices or installment invoices will be broken into individual line items, which allows for detailed GL representation for the invoice. If the master invoice is a split or installment invoice, then only one record will be shown for the invoice, it will not have one record for each line item on the invoice.

Additional Improvements

  • A new filter has been added to the Reserved Product Scheduler to include inactive publications. By default, inactive publications will not be included in the runsheet or calendar.

  • Previously, auto-payments on invoices would be processed if there was an autopay method set on either the invoice, or the order. This meant the autopay method would need to be removed from both the invoice and order for the auto-payment to not process. This release we updated this functionality so if there is no autopay method set on just the invoice, regardless of if there is one set on the order level, no autopay will be processed on that invoice. In addition, on orders, the autopay methods available will be based on the billing company, rather than the order company.

  • A new 'Order Thank You Email BCC' system configuration has been added that allows you to enter email addresses that will be BCC'd when the 'Thank You For Ordering' email is sent.

  • Special invoices can now be set in the 'Invoice #' field when creating Credit Memos.

  • We now support ACH when importing payments from Map Your Show.

  • Company Dynamic Attributes have been added to the Annual Client Spend report as display and search fields.

  • On the line item importers, the default GL class will now be automatically used if no GL class is specified on the record.

  • GL class edits are now captured on line item edits and will be shown when viewing the Order History.

  • A new 'Commissions Write-Off' credit type was added to Credit Memos.

  • When proof request emails are set up to be sent from a System Address, this email address will now also be used as the 'from' email for internal proof request update emails.

  • A GAM Inventory Threshold configuration was added this release. Set to 0 by default, this configuration determines if a percentage of your Google Ad Manager inventory is not considered sellable. For example, if a value of 5 is entered here, then 5% of your inventory from GAM would not be available within Ad Orbit.

  • A new 'Negative Discount (Mark-up)' user permission has been added to determine whether or not a user can enter a negative discount on line items.

  • The Daily Order Sales report now has a Rep search field, and a Run Date Start search field.

  • A PUT Proposals API endpoint has been added this release, to allow for updating proposals through the API.

  • Ad-Hoc group names can now be edited after the invoice is generated. To do so, simply open the Edit Invoice popup and make changes to the Ad Hoc Group Name(s) field. This field will only show when the invoice contains an Ad-Hoc group.

  • Market and Market Territory search fields have been added to the Consolidated Snapshot and Consolidated Sales Reports. The Market search field was also added to the Annual Client Spend Report.

  • When adding a package to an order, if the package name has not been manually entered, the name field will automatically populate with the name of the package.

  • Additional information has been added to the Cash Account Pre-Paid popup, including Issue/Date and Publication fields.

Fixes

  • On the Status Definitions page, the digital media ticket type is now properly showing digital media statuses.

  • Appointments marked as completed through the mobile app now have a completed date set.

  • Disabling rate cards will no longer remove fields from existing line items.

  • The Admin and Support users will no longer appear as options in the Rep dropdown search filters on the Sales Rep Activity Report and the Consolidated Snapshot and Consolidated Sales reports.

  • If an inactive company is reactivated, the company's primary rep is also now reactivated automatically so the company can be accessed.

  • A loophole to get around the similarity index checks for companies has been closed.

  • PayPal can no longer be used for non-single use payments on the Subscription WebForm.

  • The Average Pay column is now included in the Aging Report export.

  • Publications are now being shown for all product types, when applicable, on the Cash Receipts Journal Report.

  • A display issue with system-wide announcements has been fixed.

  • Disabled products are no longer shown on Event overview pages.

  • When deleting a line item that has been invoiced, and choosing the 'Remove Invoice & move all payments to cash account' option, the deleted line item will no longer display on the Invoice Search.

  • If a default Special Invoice template is specified, it will now be used for automatically generated Late Fee invoices.

  • A bug causing issue names to display formatted as dates on invoice PDFs has been fixed.

  • When reassigning reps, only future items will be reassigned if that option is chosen.

  • The Agency Gross and regular Gross amounts are now displaying properly for print items on Contract PDFs.

  • An error when clicking the checkbox header when emailing a ticket has been fixed.

  • A language update was made when making ACH payments if the 'Optional Payment Method on Order Approval' configuration is enabled.

  • When rescheduling a slot line item, the end and billing dates are now properly being updated.

  • PDFs will no longer be included in the E-Payment Email for prepayment invoices.

  • Display issues were fixed on the Ecommerce Storefront when viewing on a mobile device.

  • Prepay special invoices are now properly showing line item information on the PDF.

  • Rates can now be removed from Service Rate Cards.

  • The messaging has been updated for accuracy when an offer is claimed that will be billed to a parent company or agency.

  • When foreign exchange conversions are enabled, the converted values are now treated as estimates for display purposes only, to ensure that payment records are accurate.

  • An error when adding line items with a tax basis greater than $999 has been fixed.

  • An issue preventing the ACH autopay method field from displaying on invoices has been resolved.

  • Service and digital media forecast items are now properly showing on the Forecast Summary and Forecast Detail reports.

  • A bug preventing print artwork reminders from being sent has been fixed.

  • Swapping invoiced items for service items with quantities greater than one can now be done.

  • When creating multiple slot offers, the companies selected are now applied to all offers created.

  • Unavailable offer product types are no longer visible in the create offer popup.

  • Support tickets are now bringing in the correct attached images.

  • A display issue on the Client Center permissions edit page has been fixed.

  • The Transaction Summary email now includes order prepayments.

  • The Rate Card Position import now adds new positions and frequencies to rate cards when applicable.

  • When editing a line item from a delivery solution service to a non-delivery solution service, the line item form is now updating properly.

  • Warnings were resolved on the Forecast Summary report and Invoice Ad Items element.

  • When deleting proposals, the status column will now reflect 'Deleted', and the probability will be automatically updated to 0%.

  • When a proposal is converted to an order, the proposal probability will now automatically be set to 100%.

  • Previous errors are now removed when a user disconnects and reconnects an email account.

  • Astro Chat will no longer close if you click outside of the popup.
