New
Initial Delivery Date Contract Expiration
A new Price Expiration Period for contracts has been added this release. Similar to the Initial Material Due Date option, the new Initial Delivery Date option does not expire contracts after a set number of days. Instead, the order will expire when the earliest delivery date on the order is reached. This prevents orders from being signed if they are past their delivery dates. The way the delivery date is determined varies depending on the type of product.
Print Ads - The delivery date for print ads is based on the reporting date of the issue.
Digital Ads - If the line item has a manual start date assigned, that will be used as the delivery date. If no manual start date is set, then the issue's reporting date will be used.
Digital Media - All digital media product types use their Start Run Dates as the delivery date.
Services and Events - If there is an Event (Start) date set on the line item, that will be used as the delivery date. If there is no Event (Start) date specified, then the Due (End) date will be used instead.
Chrome Quick Add Extension
This month, we have created a brand new Quick Add extension for Chrome which allows you to quickly add and search for contacts in Ad Orbit from any webpage.
Once the extension is installed and configured, when visiting any website, you can open the extension, which will search your open web page to find available contact information.
If the contact information is found for a contact that already exists in Ad Orbit, you will see the contact details pulled from Ad Orbit. You can open the contact's record in Ad Orbit from here, as well as run a new search or choose to create a new contact.
If the contact does not already exist in your Ad Orbit site, then you will see a form with available contact fields pre-populated based on the information the extension can find on the web page. For example, fields like First Name or Email may populate automatically. If you wish to create a new contact in Ad Orbit using this information, you can fill out the rest of the form to create the contact.
Delete All Forecasts and Opportunities
A new user permission has been added to 'Delete All Opportunities'. With the permission, users can delete any forecast or opportunity within Ad Orbit, regardless of the owner. Without the permission, users can only delete forecasts or opportunities that they are the owner of.
Improvements
Offer Improvements
Each release, we have been adding to and improving our Offers functionality. Below are the changes made this month:
A new system configuration Offer Commission Split Percent was added. Set to 100 by default, this configuration sets the percentage of the usual commission rate a rep should receive on Offer sales. For example, a value of "50" would mean the rep receives 50% of their usual commission on orders sold via Offers.
Targeted Display and Impression digital media products are now supported on Offers, in addition to Slot and Print Ad items.
Offers can now be claimed anonymously. This is only possible if the Offer has been emailed to a company and contact.
DataWarehouse and Metabase Updates
Rate Card information is now included in the Analytics Sales table for digital media products.
A 'Last Emailed' column has been added to the Offer Items table to show when an offer was emailed to a customer.
New Slot Inventory Fact and Service Price Fact tables have been added this month. When combined, these tables can be used to put together a report that will show remaining slot inventory values.
Invoice Search Actions
A few updates were made to the bulk actions on the Invoice Search page.
A new action was added to bulk update the Sales Rep on Special Invoices.
The bulk actions display on the Invoice Search page has been updated. Now, rather than each bulk action displaying across the top of the table, most of the bulk actions will show under the new 'Selected Actions' dropdown menu.
Additional Improvements
When sending Payment Reminders and Past Due Payment Reminders, the emails are now grouped by billing contact. For example, if a company has two overdue invoices, and each invoice has a different billing contact assigned, then one email will be sent to each contact.
A 'Compare To Year' search field has been added to the Forecast Summary Report. When used, you will see two additional rows of data in each table: one row for the compared to year's Booked sales, and one for the compared to year's Variance. For example, if you are running the report for 2025 and comparing it to 2024, then in addition to the normal report results, you will see rows for 2024 Booked and 2024 Variance.
Contact phone numbers are now included when pulling information in from ClearBit, using the email address autofill functionality.
The Annual Client Spend report 'Show Contract Sales' checkbox has been updated to be a single-select dropdown filter with the options including: Issue/Billing/Issue Date, Expected Delivery Date, and Sold Date.
A Publication Market search filter has been added to the Consolidated Snapshot report.
Naviga GL Exports now support separate pickup and unbilled file exports.
The 'Delete Non-Final Artwork' Client Center permission is now granted automatically to contacts designated as the company's print or digital artwork contact.
Revenue pickup processing is now being run when tickets are marked as done.
The Primary Rep search filter on the Sales Rep Assignments report now includes an 'All Reps' option.
The Astro Analytics query can now be edited if users have the 'View All Contacts and Companies' user permission. After a question is submitted, users can open the SQL Query and make tweaks if needed.
HubSpot Contact Lists have been re-named within Ad Orbit to HubSpot Contact Segments, to match the HubSpot terminology.
When swapping line items, start and end dates, dynamic attributes, and commission splits will all be brought over from the original item to the new item, when applicable. These can all be edited on the new item if needed.
Publication has been added as an available field on the Order Display setup for service items.
On special invoices, if there is QBO or Xero enabled in the Ad Orbit site, the 'External Reference #' field will now reflect that the field is for either QBO or Xero.
Clickable breadcrumbs have been added to the Order History page.
Fixes
When new tickets are created from Reorders, the original ticket's status note will no longer display on the Consolidated Production Report.
When new tickets are created from Reorders, if the original ticket was marked as 'done', the new tickets will no longer show as 'done' on the Ticket Search pages.
An error on the Order History page has been fixed.
The Publication Metrics Report is now putting the results of the report into the monthly buckets correctly.
When invoicing, the Organization Filtering configuration is now being applied properly, where any item can be invoiced if it is for a company that is associated with the user's publisher.
On the Recorded Payments search page, terminated users are now showing in the Rep filter consistently with how terminated users display elsewhere within Ad Orbit.
When using CardConnect as a payment gateway, the Credit Card type is now validated to ensure it matches the card number entered.
Publisher gateway accounts no longer remain active if the bank account is disabled.
On the Sales Rep Goal Metrics report, the results are now correct when viewing a service product category for a whole year.
If the artwork contact on a company is deactivated, new tickets created for the company will default to using the company's primary contact as the ticket's material contact.
The invalid date message has been updated for clarity when adding Targeted Display line items to an order.
Specific scenarios that would allow users to add slot items to orders at a $0 value that should have a price assigned have been resolved.
Number dynamic attributes more than three digits long are now importing from HubSpot correctly.
Tax amounts are now included in the payment amount total field in the Client Center for orders requiring pre-payment.
On statements, the payments received now show master invoice numbers.
Correct circulation values are now shown on the Production Report for items that use ad sizes that do not allow user defined circulation.
The Delivery Months are now applying properly to the Publication Sales Pacing report results.
Reserved product end dates are now displaying properly on contracts when in an ad hoc group.
The global searches are now consistent with the regular search pages when organization filtering is enabled, and the 'View All Contacts and Companies' user permission.
A fix was implemented so that the ACH payment authorization notification will always show the amount that was actually processed.
Deleted forecasts will no longer be updated when the opportunity is edited or deleted.
An error has been fixed when attempting to export the Consolidated Production report if there were no results.
An error was fixed when editing an Item Product Class with no products selected, and when attempting to delete an ad size attached to an Item Product Class.
The Ad Fractionals report now links to the Consolidated Snapshot report, rather than the Issue Snapshot report.
Files uploaded through the Client Center now show the correct status note on Ad Orbit tickets.
When swapping a line item that exists on multiple master installment invoices, each of the invoices is now updated to reflect the new line item ID.
On the Consolidated Sales report, commission splits can now be adjusted in bulk for negative net line items.
The 'click to pay' link on statements is no longer visible if there is no payment gateway enabled.

When billing an agency for multiple order companies, only companies with the same currency can be billed together.
If a special invoice that was created through the 'Create Pre-Pay Invoice' flag on an order is deleted, the line items will now be available to be invoiced regularly.
An error when pulling in activities from Nylas has been resolved.
When an autopayment is made towards a regular or master invoice, and a surcharge fee is applied that is mapped to QBO, the invoices will be re-marked for export.
A performance improvement was made to the HubSpot activity sync.
When adding multiple slot line items to an order using a package, the price of each item is now correct.
Proposals can now be set to 0% probability through the API.
