Accounts Without Activity
All clients listed in this report have not had a note, meeting or callback posted to their account in a specified period of time. You can use this report to quickly update contact records and create new mail and contact lists. If you have been in contact with the client, but have not added any notes to their account, this report serves as a good reminder to add the notes now. If you have not been in contact with the client, then it is a good idea to either perform or schedule an activity.
To access this report, you need the User Permission 'Inactive Account Report'. This permission will grant you the ability to see information about your own clients as well as clients of any users who report to you. If you need the ability to see information for all users, you will also need the sub-permission 'View All Users'.
Unlike other reports, you are not required to enter any search criteria, the results will display automatically.
The report is shown in a table format with all of the clients that have not had any activity within the specified period of time.
The time period that triggers a client to show up on this report is the number entered in the System Configuration Sales Activity Threshold. Depending on how you would like your site configured, you could either trigger clients to show up in this report after 5 days, or 60, for instance. You can see how many days have been set in the configuration in the message at the top of the report.
The Sales Activity Grace Period system configuration is what will populate the ‘Next Activity’ column of the report. Let’s say your Sales Activity Threshold configuration is set to 30 days, and your Sales Activity Grace Period is set to 10 days. If a client has not had any activity in 30 days, they will show up on the report. However, if their next activity is scheduled sometime in the next 10 days, the date of that activity will show up under the Next Activity column of the report. This lets you know that they already have an activity coming up, and you do not need to schedule something new for the client.
The report will also show other data, including contact information and the last recorded activity for the client.
You can add a new note directly from this report by clicking on the + icon, which will prompt the Add Note pop-up. The company and contact names also serve as quick links, which will bring you directly to the company or contact page as long as you have access to the selected record.
At the top of the report, you can filter by specific users to view results for companies they are the rep on. The users you can select from are dependent on whether you have the 'View All Users' permission for the report or not.
At the top of the report, you can also export the results, as well as quickly create a contact or call list using the results.
