Contacts
Gives a user access to the Contacts tab. Depending on your permissions in this section, this allows a user to search, add, and edit contacts and companies.

Allow a user to access the contact features.
- Search Contacts
Gives a user the ability to search contacts. If a user does not have the permission to view all contacts, they will still have the ability to search all contacts but will not be able to click on any contacts that are not their own.
- Add Contact
Allows a user to add a contact.
- Edit Contact Details
Allows a user to view and edit contact details even if they are not the rep on the account.
- Merge Inactive Contacts with Another Contact
Gives a user the ability to merge an inactive contact with another contact. This cannot be undone.
- Delete Contacts
Allow a user to delete a contact with no order history. The contact must be inactive.
- Bulk Contact Changes
Gives a user the ability to make contact changes in bulk. These changes include enabling client center access, electronic communication subscriptions and any dynamic attributes that have been created. A user will also be able to bulk send out client center login information with this permission. A user will need the permission to search contacts.
- Bulk Change Contact Permissions
Contact client center permissions can be edited in bulk from the contact search page. Users need this permission in order to make this type of bulk change.
- Approve New Contacts
Gives a user the ability to approve new contacts created in the system. This can be helpful to prevent duplicates.
- Approve New Contact Ownership Requests
Gives a user the ability to approve or deny contact ownership requests.
- Allow Astro to Draft in Email Popup
When Astro is enabled, this permission allows a user to leverage Astro in the Send Email popup to automatically generate draft emails of various types, including prospecting and product offerings.
- Companies
Allow a user to access the company features.
- Search Companies
Gives a user the ability to search companies. If a user does not have the permission to view all companies, they will still have the ability to search all companies but will not be able to click on any companies that are not their own.
- Add Company
Allows a user to add a company.
- Edit Company Details
Allows a user to view, and edit company details even if they are not the rep on the account.
- Edit Company Name and Type
Grants a user the ability to change the names and company types when editing company records. Without this permission, when editing companies, these fields will be view only.
- Edit Company Brands
When enabled, this permission gives users the ability to edit brands on companies. Without the permission, brands will be view-only. One exception to this is if brands are required on companies, and a user is creating a new company; they will be able to set brands when creating a new company if it is required even without the permission.
- Edit Company Billing Information
Allows a user to edit the billing information for a company, which includes payment terms and methods, as well as currency.
- Edit Company Dynamic Attributes
This permission grants users the ability to edit company dynamic attributes. This is enforced when adding or editing companies, as well as editing company attributes from company overview pages.
- Edit Rep Assignment if Not Primary Rep
Gives a user the ability to add/edit reps on a company if they are not the primary rep.
- Assign Rep Order Split on Companies
Allow a user to set up company order splits by publication and brand. You must have order splits enabled in your settings.
- Assign/Associate Unassigned Artwork
Gives a user the ability to assign unassigned artwork for a specific company to any ad tickets for that specified company.
- Clear Companies that are in a Similarity Hold
If company names are too similar, the system will restrict those companies from creating orders, as they may be duplicates. If they are not duplicates, a user with this permission will be able to end the restriction and these similar companies will be able to place orders again.
- Deactivate Companies with Open Invoices
Users need this permission in order to deactivate a company that has open invoices. Any open invoices will still require payment, display in reports, and trigger reminders to your client. If you will be deactivating companies with open invoices, you should either close the invoices, or merge with another company.
- Merge Inactive Companies with Another Company
Gives a user the ability to merge an inactive company with another company. This cannot be undone.
- Merge Companies with Financial Transactions
Gives the user the ability merge an inactive company with financial data into another company. The commission amounts will transfer to the new company. This action cannot be undone.
- Delete Companies
Allow a user to delete a company with no order history. The company must be inactive.
- Bulk Company Changes
Gives a user the ability to make company changes in bulk. These bulk changes include the category, market, publisher, and payment terms as well as any dynamic attributes that have been created. A user will also need the permission to search companies.
- View Company Statement
Can generate and view company statements, which are accessed under the billing information on the company details page.
- View Company Invoices
Can view invoices for a company on the invoice tab of the company details page.
- View All Invoices
Can see all company invoices if enabled. If not checked, a user can only see invoices where he or she is the order rep.
- Import Companies
Allows a user to import new companies via the import tool.
- View All Contacts and Companies
Allows a user to view companies and contacts even if they are not a rep or owner.
- View Activities for All Reps
Gives a user the ability to see all activities regardless of the rep on the activity.
- Add Activity Items for All Contacts/Companies
Allows a user to add activities, such as calls and appointments, with contacts even if they are not the rep on the company.
- Delete Activities
Allows a user to fully delete activities from the system. This action cannot be undone.
- Add Private Activities
Allows a sales rep to make activities marked as private. Without this permission, all created activities can be seen by other users.
- Add New Payment Method
Gives a user the ability to add a credit card or ACH account to a company in the CRM.
- Edit Existing Payment Method
Gives a user the ability to edit a credit card or ACH account on a company in the CRM.
- Can Override Funding Source Auto Detect
Allows a user to change the automatically determined Funding Source when adding or editing credit cards. Without the permission, users can specify a Funding Source if no source is automatically found from the payment gateway.
- View Payment Method Change History
Allow a user to view payment method history for a company or contact.
- Contact/Company Import
Allows a user to use the consolidated import. This can bring in companies and contacts in one import, rather than doing them separately.
- Contact/Company Export
Allows a user to export company or contact searches to a CSV file.
- Export All Contacts/Companies/Vendors
Gives a user the ability to export all results from the contact, company, and vendor search pages. Without the permission, your exports will be capped at 500 results.
- View Vendor Contacts
Gives a user the ability to view, add new, and edit existing vendor contacts in the system. This includes writers, photographers, distributors, and promoters.
- Access Vendor Contact Applications
Allow a user to upload and view vendor contact application forms.
- Import Vendor Contacts
Allow a user to import new vendor contact records.
- View Vendors
Gives a user the ability to add new and edit existing vendors in the system. A user will also have the ability to view and accept new registrations from the vendor center.
- View All Vendors
Without this permission, you can only see vendors who do not have any users set on them, or vendors that you are a user on. You will be unable to see vendors that have other users set on them. With the permission, you can see all vendors.
- Import Vendors
Allow a user to import new vendor records.
- Create Call Campaigns
Gives a user the ability to create call campaigns.
- Create Call Lists
Gives a user the ability to create cold call lists, which can then be tied to campaigns.
- Assign Contacts on Call Lists
Gives a user the ability to assign contacts on cold call lists to reps.
- Reassign Call Lists
Gives a user the ability to reassign cold call lists.
- Delete Lead Status History
Gives a user the ability to delete lead status history.
- Contact History Search
Gives a user access to the Contact History Search page.
- Company History Search
Gives a user access to the Company History Search page.
- Contact Lists
Gives a user access to contact lists. From these lists, a user will have the ability to bulk send out a mail merge email. If your site has an integration with Mailchimp or Constant Contact, a user will also have the ability to push this list to these email marketing platforms.
- View All and Assign Contact Lists
Gives a user access to all contact lists in their site, including lists owned by other users. Without this permission, you can access contact lists owned by yourself or users who report to you, as well as any lists without a specified owner. This permission also gives users the ability to edit the owner of contact lists.
- Astro Mail Merge
Applicable when the Astro module is enabled, this permission allows a user to enter a prompt when creating a Mail Merge email, which will automatically be populated with content generated by our AI tool Astro. To see the prompt content to show up in your emails, you also need to include the ‘Astro Prompt’ merge tag in your mail merge templates.
- Campaigns
Gives a user access to campaigns from Mailchimp or Constant Contact, if an instance has an integration with one of these email marketing accounts. Here you will be able to see limited information about a campaign, such as opens and clicks. A user will also be able to preview the email that was sent out as part of the campaign.
- Astro Autodrafts
Only applicable when the Astro integration is enabled, this permission grants users access to the Marketing > Autodrafts page. Autodrafts use our AI Astro to quickly generate order renewal or sales proposal emails to contacts.
- Manage All Users Astro Autodrafts
Allow a user to access and manage each users’ Autodraft lists in the system, not just their own. With this permission, you can create Autodrafts for other users, as well as perform actions on them.
- Scheduled Emails Groups
Gives access to the Marketing > Scheduled Email Groups page, where you can view and manage scheduled Autodrafts or Mail Merges.
- View and Edit Other's Scheduled Emails
Allows you to view and manage Scheduled Email Groups for all users in your system. Without this permission, on the Scheduled Email Groups page, you’ll have access to your own groups, as well as any users who report to you.
- MailChimp Accounts
These option will only show if you have either integration in place. You will see a list of all connected accounts. A user can have access to multiple accounts.
- MailChimp
Lets a user view MailChimp campaign information on the Marketing > Email Campaigns page.
