HubSpot Field Mapping

Before syncing contacts between your HubSpot account and Ad Orbit, it's important to map the fields you want to transfer to and from HubSpot. Field mapping involves selecting which HubSpot fields will populate in Ad Orbit and vice versa. While not all Ad Orbit fields require mapping, some are mandatory. You can also set default data for any new contacts importing from HubSpot. For instance, you might want to consistently set the Lead Source to "Organic" for new contacts created through the HubSpot sync. Both contact and company fields are available for mapping.

To map your HubSpot fields, go to Settings > Integrations > HubSpot, and then either click the Contact Field Mapping or Company Field Mapping page, depending on which fields you want to map. To access these pages, you need the User Permission 'HubSpot Setup'.

  • Once on the Contact Field Mapping or Company Field Mapping page, click 'Sync HubSpot Contact/Company Properties' prior to performing your mapping. This ensures the HubSpot fields you can select are up to date.

  • Next, begin mapping your fields.

    • For each Ad Orbit field, you can select an associated HubSpot field from the dropdown.

      Important

      The mapping for the fields Company Name, First Name, Last Name, and Email are preset and unchangeable. These fields are required for contacts or companies in both HubSpot and Ad Orbit. Once data is imported from HubSpot, these fields will not update in your site again, and any changes made in your site to these fields will not sync back to HubSpot.

    • Depending on the Ad Orbit field, you may also be able to enter a 'Default Value'. Default values will be applied to incoming contacts when no value is set for the mapped field in HubSpot. Please set default values for all required fields or else contacts will not be pulled into Ad Orbit.

      Warning

      Ensure you either map a HubSpot field or set a default value for any required contact fields. If you fail to do so, the system will not be able to create the contact.

    • There are some special considerations when mapping Ad Orbit dynamic attribute fields to a HubSpot field.

      • Make sure to map fields with the same data types. For example, if mapping the last email date from HubSpot to your site, you should create a Date type dynamic attribute. But if you want to map an email name field, you should use a text field.

      • You also need to make sure if you use a multi-select or single-select data set, that both HubSpot and your site have matching entries. For example, if mapping a HubSpot contact's lifecycle to lead status, make sure you set up the same field names in your site as they are in HubSpot. The system cannot set the lead status to "Marketing Qualified Lead" if it isn't an option in your site.

      • For dynamic attribute values, the system will import data if it isn't already set up as an option. For example, if you have attributes for Priority A, B, C but HubSpot has an option D that is used, the system will input the data of D into the system for viewing purposes. However, the attribute won't be searchable until you update the field in Ad Orbit.

    • After mapping your fields, you should also decide the Sync Direction for each field. There are three options for the Sync Direction:

      • Bi-Directional: Data will both be pushed and pulled from Ad Orbit to HubSpot. Updates in HubSpot will prompt an update in your system. When you push an update to HubSpot from the contact page or the bulk page the data will change in HubSpot.

        • Tiebreaker: The Tiebreaker field is only applicable for Bi-Directionally syncing items, and when you have the sync option 'Auto-push Updates to HubSpot' enabled. If a Bi-Directionally synced field is updated in both Ad Orbit and HubSpot between syncs, the Tiebreaker will be used to solve the conflict. By default, this field is set to Ad Orbit, but can be changed to HubSpot if needed.

      • To Ad Orbit: Only changes in HubSpot will transfer to your system. Once the data is in your site, your users can change the field but those changes will not sync back over to HubSpot when you push an update.

      • To HubSpot Only: Only changes in your system will transfer to HubSpot. Any changes in HubSpot to the field will not sync back to Ad Orbit.

    • Click Save once you've completed mapping and setting your Sync Directions.
