Vendor Types and Vendor Contact Types
When creating a Vendor or Vendor Contact, the 'type' field will always be required. There are system defaults for both, however you can create new types to use and can change settings on the existing types.
To create or manage Vendor Types, go to Settings > Contacts > Vendor Types, and to create or manage Vendor Contact Types, go to Settings > Contacts > Vendor Contact Types. To access these pages, you need the administrative User Permission 'Contacts'.
On the Vendor Types setup page, you can create additional types by using the +Add New Vendor Type button.
In the Add Vendor Type popup, simply enter a name and click save.
You can also decide if the type can auto-generate invoices. This option allows you to specify whether or not vendor contacts that fall under vendors of that type are eligible for automatic generation of AP invoices.
When this option is checked, the creation of invoices will be triggered when a PO is marked as ‘fulfilled/work received’.
If left unchecked, no invoices will be automatically generated for Purchase Orders for vendors that use this type.
Existing Vendor Types, including the system defaults, can be edited to change the auto-generate invoices setting.
By default, when creating a new Vendor, the Type will be set to 'Freelancer', however you can change this to use any of the Types in your site.
When searching for Vendors, you can filter by type and can see the type in your search results.
Vendor Contact Types help classify vendor contacts, making it easier to find the people you need. There are existing system default vendor contact types, but additional types can be added to help you customize your workflows.
On the Vendor Contact Types setup page, you can create additional types by using the +Add New Vendor Contact Type button.
Each type requires a Name.
You can also decide if the type requires terms and conditions.
If checked, two additional fields will appear in the popup. Set a title and content for the Terms and Conditions. When the vendor contact logs into their portal, they will be required to agree to these terms and conditions before they perform any other actions in the portal.
Existing Vendor Contact Types, including the system defaults, can be edited to change the terms and conditions requirement.
You can also choose to reset the terms and conditions, which will reset the agreement status of all Vendor Contacts of this type. Resetting the terms and conditions will require all Vendor Contacts of this type to agree to the terms and conditions again.
