How to use your Google Drive integration

This document will walk you through how the Google Drive integration is used in the system. For information about how to set up the integration, please reference our other Google Drive help center documents.

  1. There are two possible ways you can take advantage of the Google Drive integration.

    Depending on whether your system configuration Export ticket files to a single folder is set to yes or no, your ticket files uploaded in the system will be organized in Google Drive differently. If set to 'Yes' all system files will go over to Google Drive into your base folder. If set to 'No', your system will create a folder structure based on the file name and aliases. No matter which setting you choose, the instructions below go over when and how an asset goes over to Google Drive.

  2. Once you have your site set up for the Google Drive integration, files uploaded to your tickets will be added to their corresponding Google Drive folders.

  3. You can upload files to your tickets the same way you could before the integration. Navigate to a ticket page, and go to the Upload Files section. Click ‘choose file’ to select the item you want to upload to the ticket.

  4. When a file is successfully uploaded to the ticket, you will be able to find that file in your Google Drive account. All of the files will be added under the ‘base folder’ that you configured when setting up your integration, and will be sorted from there.

  5. The system configuration ‘Export ticket files by status’ allows you to choose whether Final, Non-Final, or All files uploaded to print and digital ad tickets will be synced with your Google Drive account. By default, this configuration is set to Non-Final.

    • When the configuration is set to Non-Final, all files uploaded to the ticket will be synced with your Google Drive account unless the file is marked as final artwork.

    • If the configuration is set to Final, only ticket files marked as final will be brought into Google Drive. Any other ticket files uploaded will not sync between the systems.

    • When the configuration is set to All, both final and non-final files will be brought into Google Drive.

      Note

      For service tickets, there is no marking of files as final, which means that all files uploaded to service tickets will sync with Google Drive. Digital media files are considered final when they are marked as 'ready to deliver' and assigned to a specific ad size.

    • No matter which setting is used for this configuration, your files will be brought into Google Drive using the same method of organization - either a single base folder, or by using your system’s alias names, depending on how you set up the integration.
